Ceres Canopus Private Limited (“Ceres Canopus,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we handle personal data when you visit cerescanopus.com, contact us, request a quotation, subscribe to updates, apply for an internship, or otherwise interact with our general business services.

This company policy does not replace a product-specific privacy notice. A separate notice applies to Study Beast and may apply to other Ceres Canopus products where stated.

1. Information we collect

Information you provide

Depending on how you interact with us, you may provide:

  • your name, email address, phone number, company or organisation, and message;
  • the technology or professional services in which you are interested;
  • quotation, project, support, or consultation details;
  • newsletter or marketing subscription information;
  • internship information, including your current role, study year, preferred domain and duration, LinkedIn profile URL, and application note;
  • information contained in emails, calls, WhatsApp messages, social-media messages, meetings, contracts, invoices, or other business correspondence; and
  • any other information you choose to provide.

Please do not submit passwords, government identifiers, financial account details, health information, or other sensitive personal data through our general website forms unless we specifically request it through an appropriate secure process.

Information collected automatically

When you use our website, our hosting, security, caching, and website systems may automatically process technical information such as:

  • IP address and approximate location derived from it;
  • browser type, device type, operating system, and language;
  • pages and files requested, referring page, date and time, and interaction or error information; and
  • security, fraud-prevention, performance, and server-log information.

We may use cookies and similar technologies needed to operate WordPress, remember preferences, protect forms, maintain security, and improve website performance. See Section 6 for more information.

2. How we use information

We use personal data to:

  • respond to inquiries, support requests, quotation requests, and consultation requests;
  • understand requirements and propose, provide, maintain, or improve our services;
  • evaluate and communicate with internship applicants;
  • send newsletters or promotional communications when you have requested them or where otherwise permitted by law;
  • manage client, vendor, partner, and professional relationships;
  • operate, troubleshoot, secure, back up, and improve our website and systems;
  • prevent spam, fraud, misuse, and security incidents;
  • maintain business, accounting, contractual, and legal records; and
  • comply with law, enforce agreements, and protect our rights and the rights of others.

We process personal data with your consent, to take steps at your request or perform a contract, to comply with legal obligations, and for other lawful or legitimate uses permitted by applicable law.

3. How we share information

We do not sell or rent personal data.

We may share information only as reasonably necessary with:

  • personnel and authorised contractors who need it to perform their work;
  • hosting, email, website, caching, backup, security, and IT service providers;
  • professional advisers such as accountants, auditors, insurers, and lawyers;
  • business clients or partners when needed for an authorised project or relationship;
  • law-enforcement agencies, regulators, courts, or other authorities when required by law or necessary to protect rights and safety; and
  • a successor or potential successor in connection with a merger, financing, restructuring, acquisition, or sale of all or part of our business, subject to appropriate safeguards.

Our website is hosted by Hostinger. Website forms and subscription lists may be processed within our WordPress hosting environment and through our business email systems. Service providers process information under their own terms and applicable data-protection obligations.

4. Internship applications

We use internship application information to assess eligibility, experience, interests, availability, and suitability; communicate about the application; arrange interviews or assessments; and maintain recruitment records. We may retain an application for a reasonable period to complete the selection process or consider the applicant for a relevant future opportunity, unless the applicant asks us to delete it and we have no legal reason to retain it.

5. Marketing communications

If you subscribe to updates or agree to receive marketing, we may use your email address or other provided contact details to send relevant company news, offers, and service information. You can withdraw consent or opt out at any time by using an unsubscribe method included in the communication, where available, or by emailing info@cerescanopus.com. Withdrawing consent does not affect processing that was lawful before withdrawal.

6. Cookies and third-party content

Our website may use:

  • essential cookies or similar storage required for WordPress, forms, security, and core functionality;
  • preference and performance technologies used to remember choices, cache content, and improve reliability; and
  • third-party technologies where we embed content or enable external services.

The Contact page embeds Google Maps. When the map loads, Google may receive your IP address, browser/device information, and interaction information and may use cookies or similar technologies under the Google Privacy Policy.

Our website also contains links to services such as LinkedIn, Facebook, Instagram, X, WhatsApp, and other external websites. Those services receive information when you follow their links or interact with their content. Their privacy practices are controlled by them, not by Ceres Canopus.

You can manage cookies using your browser settings. Blocking essential technologies may cause parts of the website to stop working. If we introduce non-essential analytics or advertising technologies, we will update our disclosures and provide consent choices where required.

7. International processing

Some service providers may process or store information outside your state or country. Where applicable, we use reasonable contractual, technical, or organisational safeguards for such processing, subject to applicable law.

8. Retention

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, accounting, security, dispute-resolution, and contractual requirements.

In general:

  • inquiry and quotation information is retained while we respond and for a reasonable follow-up and record-keeping period;
  • client, vendor, contract, invoice, and transaction records may be retained for the period required by law and legitimate business needs;
  • internship information is retained for the selection process and a reasonable future-opportunity period;
  • marketing subscription information is retained until you unsubscribe, withdraw consent, or we discontinue the list; and
  • technical logs and backup copies are retained according to operational, security, and backup-rotation needs.

When information is no longer required, we delete, anonymise, or securely isolate it, subject to technical limitations and legal obligations.

9. Security

We use reasonable administrative, technical, and organisational safeguards designed to protect personal data. These may include access controls, secure hosting, TLS encryption in transit, backups, software maintenance, and security monitoring. No website, storage system, or transmission method is completely secure, so we cannot guarantee absolute security.

10. Your choices and rights

Subject to applicable law, you may ask us to:

  • confirm whether we process your personal data and provide information about that processing;
  • access, correct, complete, or update your personal data;
  • erase personal data that is no longer required or is being processed without a lawful basis;
  • withdraw consent for future processing;
  • stop receiving marketing communications;
  • receive information about relevant service providers or recipients; or
  • address a privacy grievance.

Where applicable under Indian data-protection law, you may also nominate another person to exercise your rights in the event of death or incapacity and may raise a complaint with the Data Protection Board of India after first using our grievance process.

To exercise a right, email info@cerescanopus.com with the subject “Privacy Request.” We may need to verify your identity and clarify the scope of the request before acting. Some requests may be limited where retention or processing is required by law or necessary to protect another person’s rights.

11. Children

Our corporate website and general business services are not directed to young children. If you are under 18, submit professional or internship information only with the involvement or consent of a parent or guardian where required by law. If you believe a child has provided personal data without appropriate authorisation, contact us so we can review the situation.

12. Product-specific privacy notices

Products and applications may collect or process different information and may have their own privacy notices. For Study Beast, read the separate Study Beast Privacy Policy.

If a product-specific notice conflicts with this company policy for that product, the product-specific notice governs the product’s data practices.

13. Changes to this policy

We may update this Privacy Policy when our website, services, providers, or legal obligations change. We will publish the revised version at this URL and update the “Last updated” date. We may provide additional notice for material changes where appropriate.
